Sakura Haven Homestay Host Agreement 

As a host you agree to: Our Host Responsibility Policy 2026

  1. Respond to all communications from Sakura Haven Homestay by phone or email within 24–48 hours of receipt.
  2. Notify Sakura Haven Homestay if you will be away from home at any time and ensure the student’s care and welfare are covered. Provide as much notice as possible so alternate arrangements can be made if needed.

  3. Acknowledge that Sakura Haven Homestay will process homestay payments for all students for the entire duration of their stay, including any extensions or periods after a student turns 18. A service fee will be deducted from homestay fees before your payment is processed; this fee applies for the whole stay. Your confirmation letter will state the homestay rate for each student, which may vary by institution or program. Rates and service fees may change without notice.

  4. Not accept or agree to any direct payment offers from students, their families, or their education agents. Any direct payment arrangements are a breach of this agreement and may result in de-registration.

  5. Notify Sakura Haven Homestay immediately of any unusual payments (e.g., delayed, overpayment, or underpayment). Any overpayment must be returned within five working days.

  6. Provide at least two weeks’ written notice to Sakura Haven Homestay (or accept two weeks’ written notice from a student/agent) to terminate a homestay contract. If the full notice period is not given, either party may be entitled to a payment or refund of up to two weeks’ homestay fees. Students under 18 require approval before leaving the homestay; Sakura Haven Homestay will issue official notice to both parties.

  7. Accept that relocation fees apply when moving a student. Either the host family or the student will be responsible for these costs depending on the circumstances. If you request a student to leave, you may be responsible for relocation costs regardless of reason.

  8. Understand that an annual re-registration fee applies if you wish to remain in our database. A relocation fee applies if you move to a new address and require a revisit before the annual visit is due.

  9. Notify Sakura Haven Homestay of any change in your family situation such as change in marital status, new baby, new pets, family members or friends moving in or out of the home, change of address, new contact details, or changes to banking details.

  10. Recognise that it is unethical for a student’s agent to introduce new students to host families without referral through Sakura Haven Homestay; contact us if you are approached directly by an agent.

  11. Inform Sakura Haven Homestay of any unsolicited direct requests from study tour leaders, student agents, colleges, or other learning institutions.

  12. Not charge the student any additional fees to live in the homestay or enter into private financial arrangements with the student, their parents, or their educational agent. Homestay costs are set by the learning institution and listed in the fees and conditions section of our website. The rate you will receive for each student will be advised at placement; hosts should not charge more than this amount.
